Before you start
What counts as a journey? One journey = travelling from one place to another. It may have multiple legs (e.g., tube → train → taxi to the final address). Submit one claim per journey.
What you'll need: A clear, legible receipt or ticket showing the date of travel and cost. Blurry images or receipts without dates will be rejected. Submit within 30 days of travel to be reimbursed.
How to submit your claim
Step 1: Find the claim button
If you're currently on placement: click "Claim travel reimbursement" on your ElderHub homepage
If placement has ended: click your profile picture, then "Claim travel expenses"
Step 2: Fill in the journey details
The form asks you to enter each journey separately. You'll need to:
Enter the date of travel
Select whether this was a "Placement arrival" or "Placement departure" journey
Choose your transport type (public transport or fuel)
Step 3: Attach your receipt and cost
For public transport and taxis (train, bus, coach, tram, taxi):
Attach a clear photo of your ticket or receipt showing the date and cost
Enter the total cost of all travel
Provide a brief description of the travel for context of what is being reimbursed
For fuel/driving:
Enter your registered postcode — we'll calculate your mileage at £0.35 per mile between your address and the placement postcode
Attach a photo of your VAT receipt (optional, but helpful for verification)
Step 4: Submit
Once all journeys are entered and receipts attached, click submit.
We will not reimburse receipts that are sent more than 30 days after the initial travel date.
Please note: Reimbursements will be added to your payment summary the Monday after the date of travel. If you are claiming a reimbursement after you have already travelled, then it will appear in a payment summary the Monday after you submit your claim.
